Is it possible to charge the equipment by material used rather than by hour?

Yes. Add or edit equipment, and turn the toggle for Do you intend to charge users for using this equipment? to on. The pricing section will now be visible at the top of the page. Scroll down to Instrument add-ons and press Create add-ons. Fill in the relevant information, and for quantity select User specified. The material cost will then be added to the total cost of the booking.

Can I set different access rights for specific instruments and users? Should I use Individual Booking Rules or Groups?

Yes. You can give each user individual booking rules and select the equipment that they are trained for and allowed to book. Nevertheless, we recommend using Groups to set booking rules for a group of people and instruments.

Do some bookings require approval and others not? Can I set this up for specific instruments and users?

Yes. You simply need to assign the desired users and instruments to a Group that enforces this by selecting Yes for the booking rule Do bookings require approval?, This way you can accept or decline the booking requests directly on the Dashboard under Lab Activities (see image below).

Is it possible to attach documents and images to specific pieces of equipment?

Yes. When adding a new Equipment or just editing an existing one, under Show optional details, there is an option to Upload documents (pdf, docx, xlsx, jpeg) - SOPs, protocols, maintenance sheets - and Upload images (bmp, jpeg, jpg, png).
